1. Who We Are

AskReceipts is operated by Ecusoft LLC ("we", "us", "our"). We provide an AI-powered receipt tracking and expense management service at www.askreceipts.com. For privacy inquiries, contact us at support@askreceipts.com.

2. Data We Collect

• Account information: Name and email address provided when you sign up via Google or email/password (managed by Clerk).
• Receipt files: PDF and image files you upload for processing.
• Forwarded receipt emails: If you use the email inbox feature, we receive and process the full content (body, subject, and attachments) of emails you forward to your personal AskReceipts inbox address. Only emails you actively forward are processed.
• Extracted receipt data: Merchant name, transaction date, amounts, line items, and other structured data extracted from your receipts by our AI.
• AI chat queries: Questions you ask about your receipts and the responses provided.
• Reminder preferences: Return deadlines and spending thresholds you configure for notifications.
• Usage data: Pages visited, features used, and interaction events (collected by PostHog for product analytics).
• Payment information: Billing details processed by Stripe. We never store raw card numbers.

3. How We Use Your Data

• To provide, operate, and improve the AskReceipts service.
• To process your receipts using AI and return structured data to you.
• To respond to your AI chat queries about your receipts.
• To send you return deadline and spending reminder notifications you have configured.
• To process emails forwarded to your personal inbox address and extract receipt data from them.
• To process subscription payments and manage your account plan.
• To analyze usage patterns and improve the product (analytics only — we do not sell your data).

4. Beta Program

AskReceipts is currently in a limited beta. Access is by request only. When you request beta access, we collect the information you provide in your request (name, email, and your intended use case) to evaluate and approve access. Beta users may experience incomplete features or service interruptions. We reserve the right to revoke beta access at any time.

5. Third-Party Services

• Clerk — Authentication and user account management.
• Convex — Database and real-time data storage.
• Anthropic — AI model provider used to parse receipts and answer chat queries. Receipt data is sent to Anthropic's API for processing.
• OpenAI — AI model provider used for receipt scanning and data operations. Receipt data may be sent to OpenAI's API for processing.
• Stripe — Payment processing and subscription management.
• PostHog — Product analytics (anonymous usage events).
• Resend — Transactional email delivery (reminders, beta approval notifications, and other account emails).
• Vercel — Hosting and infrastructure.
• Cloudmersive — Security scanning service. Uploaded receipt files and email attachments are transmitted to Cloudmersive's API to scan for viruses and malware before storage. Files are processed in-memory for scanning purposes only and are not retained by Cloudmersive after the scan completes.

6. Data Retention & Account Deletion

Your account data and receipts are retained for as long as your account is active. If you delete your account, your data (receipts, chat history, reminders, and associated files) is permanently removed from our systems within 30 days.

To delete your account, go to Manage Plan → Delete Account within the app, or email us at support@askreceipts.com and we will process your request within 5 business days.

7. Your Rights (GDPR)

If you are located in the European Economic Area, you have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data ("right to be forgotten").
• Object to or restrict processing of your data.
• Request a portable copy of your data (use the Export feature in Manage Plan).

9. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by email or by posting a notice on the site. Continued use of the service after changes constitutes acceptance.
